If duplicate customers, wrong product codes, outdated prices and unbalanced opening figures are copied across, the new system inherits every old problem, and users quickly lose trust in it. Data migration is consistently one of the most underestimated parts of an ERP project.
Most businesses have data spread across several places: an accounting package, a few years of spreadsheets, a sales tool, a warehouse list kept by one person. Fields are used differently by different people, and the same customer appears three times with slightly different names.

What is ERP data migration?
ERP data migration is the process of moving business data from existing systems into a new ERP accurately and completely. It isn’t simply copying files. Each source stores data in its own structure, and the new ERP has its own rules: required fields, codes, tax settings, links between records. Migration means extracting data, transforming it to fit the new structure, loading it and proving it is correct.
The goal isn’t to move everything. It is to move the right data, in the right shape, so the new system works from day one. Old, unused or poor-quality data is often better archived than migrated.

Load data into a test environment, review it with your users, and fix issues. We usually run two or three trial loads.

Compare totals and balances between old and new systems: trial balance, receivables, payables, stock.

Load final data at go-live, after the last transactions in the old system.

ERP data migration checklist

Odoo migration and version upgrades
Odoo releases a new major version every year. Moving from an older version, or from Community to Enterprise, requires migrating both data and any custom modules. We assess your current database and customizations, adapt custom code to the new version, migrate and test data in a copy of your system, and switch over with minimal downtime. We also migrate into Odoo from other systems such as Tally, QuickBooks, Zoho Books, SAP Business One and older ERPs.
How much history should you migrate?
Migrating full transaction history sounds safe, but it adds time, risk and clutter. For most companies we recommend: all active master data, open transactions, opening balances at go-live, and either one to two years of summarised history or detailed history only where it’s needed for daily work. Older data can be archived in a searchable format and kept for UAE record-keeping and audit requirements.
Data quality rules we apply
Every customer and supplier has a unique code. Tax registration numbers (TRNs) follow the correct format. Products have consistent units, categories and costs. Addresses use standard emirate names. Inactive records are archived, not migrated. Balances are reconciled to the cent before sign-off.
Problems we see most often, and how we solve them
Duplicates
The same customer entered several times with different spellings. We match on TRN, phone, email and name similarity, and your team confirms merges.
Inconsistent product data
Different units, codes and descriptions for the same item. We standardise before loading.
Unbalanced opening figures
Receivables or stock values that don’t match the general ledger. We reconcile and resolve differences with your accountant before go-live.
Missing mandatory fields
New ERPs often need information old systems didn’t capture. We identify gaps early and agree defaults or collect the data.

Security and confidentiality
Migration involves sensitive data such as customer details, salaries and bank information. We work in secure environments, restrict access to the people who need it, avoid emailing data files, and delete working copies once the migration is signed off.
Migrating from common UAE systems
Tally: widely used by UAE SMEs; we export ledgers, masters and stock and map them to the new chart of accounts. QuickBooks and Zoho Books: customers, suppliers, items and open invoices move cleanly with proper mapping. Older Odoo versions: data and custom modules are upgraded together. SAP Business One and other ERPs: structured exports are mapped field by field. Spreadsheets: standardised templates are used to collect and validate data before loading.
Case study
A trading company with years of data in Tally and spreadsheets had thousands of customer records, many of them duplicates. After cleansing, only clean records were migrated to Odoo, and opening balances reconciled on the first attempt.
